Checklist: changing a booking system

A system change affects more than the online shop. Use this checklist to organise decisions across sales, operations, accounting and the team responsible for your website.

1. Record the starting point

List systems, sales channels, ticket types and devices. Identify the information you want to bring together and the steps you want to develop. Assign an owner to each workflow and agree the scope for launch and future stages.

2. Prepare data and booking scenarios

Request sample exports early. Separate future bookings, vouchers, customer records and accounting history. Include unusual but important cases: a partly paid group, a cancelled departure and a ticket already issued by a partner. Define how each should work after the move.

3. Agree acceptance and cutover

Test the complete journey on real devices, including payment and reports. Train each role before launch. Set the sales cutover, website-link updates and treatment of existing tickets. Assign support contacts and schedule a review after the first operating days.
